Implementing Alternative Document Imaging for a Fuel Hauler

A medium-sized fuel hauler based in the Midwest approached GLCS to research and implement an alternative document imaging and e-file process for these images. Because the documents were coming into their offices in many different formats (email, eFax, texts from drivers, hard copies), their current solution could not handle it and had no way of determining where the document should be assigned in the TMS.

GLCS researched solutions that would perform well in this environment. We presented the customer with three recommendations and our professional opinion, and the customer proceeded with our advice. Due to the complexity of the project, it was managed in 4 different phases. Phase 1 included acquisition, integration setup, dev environment setup for testing. Phase 2 included the management of the operational change project, employee presentations, and training. This phase also had new tasks for each role that was involved with the process. Phase 3 included testing, adjusting integration points, and operational task adjustment. Phase 4 was Go-Live and rollout of the new approach.

The results of this successful project allow the carrier to have document images come in via any format and the documents are automatically received, scanned (if needed) and assigned to the appropriate shipment in the TMS without human intervention.
